Migrating IMAP Emails to Google Workspace: What to Expect

1) Before the Migration

During this part in the process, we’ll configure Google Workspace. We’ll verify your domain name(s) in Google, set up all the user accounts and assign the correct licenses. Lastly we’ll run a test migration, normally of one or two mailboxes to confirm that email messages & folders come across as expected.

What we’ll need from you:
A list of email accounts you’d like to migrate, including each users first and last name

Login details for these accounts

Access to you DNS records (in most cases your hosting account)

How you’ll be affected:
You’ll be able to send and receive emails in your old email system as per usual and won’t notice anything happening.

2) During the Migration

We’ll migrate all user accounts to the new system. This process can be fairly time consuming, but fortunately is automated. We’ll generally check on the migration occasionally while this is happening.

What we’ll need from you
Nothing, although at the end of this step, we’ll provide login details for the new email accounts in Google and ask that your users familiarise themselves with logging in and using the new system. We’ll also make sure there are issues before moving onto the final part of the process.

How you’ll be affected:
You’ll be able to send and receive emails in your old email system as per usual and won’t notice anything happening during this part of the process.

3) Changeover

At this stage, the new mailboxes have all your emails and folders in them and are ready for use, however they aren’t receiving new emails, as they’re still going to the old system. It’s at this point we alter your DNS records to ‘point’ to your new mailboxes. Once this change takes place, your old system will stop receiving emails and any messages sent to your domain name will go to the new system.

What we’ll need from you
To decide on exactly when you’d like to change over to the new system.

How you’ll be affected:
Your old email system will not receive new emails any more.

4) Final Cleanup

Finally, we’ll migrate the few remaining emails that may have been sent and received in the old system in the time from the end of step 3 until we changed over to the new system. This is normally pretty quick.

What we’ll need from you
Nothing.

How you’ll be affected:
You may not be able to see your most recent emails for a short period of time until they are migrated. Typically this takes less than an hour. You’ll still be able to send and receive emails as normal.
